What information do we collect?

We collect telephone numbers and email addresses.

Registration: on some parts of the site we ask you to register, and if you do we ask for your name, email address, geographical address and other personal information. Please do not submit your personal data to us if you do not wish us to collect it.

From time to time we may ask you for further information, for example if you complete one of our online surveys.

We may collate data from surveys hosted by third parties, to enable us to refine our costs and services.

Use of cookies

We use the information to help us understand more about how our website is used, to improve our site and to send you information about us, events, campaigns or issues which we think may be of interest to you, both electronically or otherwise.

We also require your information to prevent you from posting illegal, offensive or objectionable comments on our website.

Unless you have informed us that you do not wish to receive further information about our services, we may send you direct mail.

We may monitor and keep records of email and other communications that you send to us, in accordance with this policy. 

Changing or accessing your information

Should your personal information change (e.g. your postcode), or if you no longer wish to receive newsletters or e-bulletins you have signed up for, or have any other queries, please email info@mayfieldvillages.co.uk including full details of your request. 

When do we share information?

We will not sell your personal information to others, unless you specifically selected to opt-in to third party offers when you asked for a brochure.

Some of the services or events are hosted by third parties but we agree with those third parties that they will keep your information secure and not use it for other purposes. If you sign up for services or events that are managed or offered by other organisations as linked through our website, they will obtain your information. It is your responsibility to review the privacy policy on their websites to determine how your information will be used. We may collate data from surveys hosted by third parties, to enable us to refine our costs and services.

A number of other people's websites have links on our site. If you link to their sites, they may collect information. Such sites are not within our control and are not covered by this privacy statement.

If we believe that your use of the site is unlawful or damaging to others, we reserve the right to disclose the information we have obtained through the site about you to the extent that is reasonably necessary in our opinion to prevent, remedy or take action in relation to such conduct.

We may change our privacy policy from time to time without notification and you should regularly review this policy when you visit.

Fire safety and Personal Emergency Evacuation Plans (PEEPs)

If you tell us, or we otherwise become aware, that you may need assistance to evacuate in an emergency, we will record details of your impairment and the assistance you need in a Personal Emergency Evacuation Plan (“PEEP”). This is special category health data. We process it because we have a legal obligation to have regard to the safety of people at risk - under fire safety and equality legislation and, for some buildings, the Fire Safety (Residential Evacuation Plans) (England) Regulations 2025 - and, in an emergency, to protect your vital interests. Where a building is within scope of the 2025 Regulations, we will ask for your separate, explicit consent before sharing limited details of your PEEP with the Fire and Rescue Service; you are free to decline this specific disclosure without affecting the rest of your PEEP.

Your PEEP is shared only with those who need it to keep you safe - the General Manager, Operations Manager, or Facilities Manager where relevant, the Designated Fire Warden on duty, and, where you have consented, the Fire and Rescue Service - and is reviewed at least every 12 months, or sooner if your circumstances change.
